1. Recorders
- The NHBG Committee will appoint a designated lead recorder ("leader")
for each project and that leader will notify the owner/occupier. Thereafter,
arrangements for recording shall be between the leader and the building
owner and/or occupier ("owner") as required.
- If required by the owner, the leader will inform them of the names of
all the recorders that will be involved in the project.
- At their first meeting, the leader will produce a letter of introduction
from the NHBG Chairman
- The leader will be a professional or expert in the field of building recording.
- Whenever possible, a member of the Committee of the NHBG will be present
during recording exercises.
2. Outcome
- The owner should receive, within two months of the final recording session,
a copy of any floorplans and drawings that are made, accompanied by an
interpretation of the building in a written report.
- Any information from parallel documentary research should be made available
as soon as practicable.
3. Confidentiality
- No information will be released to any other organisation, commercial
or otherwise, without the express written consent of the owner of the
building in question.
- Copies of all drawings, measurements, interpretations and written reports
will normally be archived in the County Sites & Monuments Record,
except where the owner has requested otherwise. General information may
be used for Countywide statistical purposes. (e.g. floorplan type, overall
size, date of construction, dateable features etc.)
4. Insurance
- Third party insurance for NHBG members on site visits will be in place
before any recording commences.
- All recorders will be encouraged to take out their own insurance against
personal accidents.
5. The Process
- Recording parties would not normally consist of more than 6 people and
every attempt will be made to complete recording as quickly as possible.
Any further visit(s) for a smaller group to check or re-measure, would
be arranged by the leader at the convenience of the owner.
- The actual recording process is non-invasive to the building fabric.
It consists of detailed internal and external measurements, possibly including
photographs of specific features.
- In order to complete a thorough exercise, access to all areas of the
building would normally be required, including where practical, the roof.
6. Contact
- In the first instance, prior to recording, owners may contact any Committee
Member of the NHBG. Following the appointment of a leader, all communications
between building owner and recorders should be with the leader.
- In the event of problems during or after recording, which are not soluble
by the leader, the NHBG Chairman (Dr Adam Longcroft) should be contacted.
